Every bride needs a wedding coordinator, but whether you hire a professional or rely on a friend or family member is up to you. A wedding day coordinator helps you create your day-of timeline and ensures everything runs smoothly on your big day. Coordinators typically start working with you 1-3 months before the wedding. I didn’t have a professional coordinator for my wedding, and as a result, we fell behind schedule by an hour. Since we had limited reception time, there was no chance for open dancing. After the first dances, it was time for the grand exit—unfortunately, many guests missed it because they didn’t know it was happening.


Hiring a professional wedding coordinator would have kept things on track, allowing us to have time for dancing and ensuring everyone was there for the grand exit. I also became the point person for questions, which meant I couldn’t fully enjoy the wedding I’d spent over a year planning.

1. Create and Manage the Day-Of Timeline

As a coordinator, I start working on your day-of timeline after our first consultation, coordinate with the photographer on the photo schedule, and finalize everything with your vendors about a week before the wedding.


2. Coordinate and Communicate with Wedding Vendors

A few weeks before your wedding, the coordinator will reach out to all your wedding vendors to finalize any last-minute details. They'll ensure everyone knows where to be and when. On the day of the wedding, your coordinator will oversee the setup to ensure everything is in place. If any issues arise—like a vendor running late—the coordinator steps in to handle the problem, saving you from any stress. I typically reach out to your vendors about 4-6 weeks before your wedding to ensure everything is on track. This includes confirming your final guest count with the caterer, sending the DJ your song requests for special moments, and providing the photographer with the shot list.


3. Your Go-To Point Person for Questions

Your coordinator is the point person for all questions throughout the day. Whether it’s from your wedding vendors, bridal party, or guests, the coordinator answers any queries so you’re not overwhelmed. Quick Tip: Have all your payments and tips ready in labeled envelopes and give them to your coordinator on the morning of your wedding, as the coordinator will handle vendor payment and tip handouts, so you don't have to worry about carrying cash or cards around. As the primary point of contact, I take the pressure off you by handling everything—from cueing the DJ for the first dance to directing guests to their seats and ensuring the grand exit goes smoothly.


4. Guest Relations: Keeping Guests Comfortable

A wedding coordinator ensures that guests’ needs are met throughout the event. If guests need help finding the restroom or their table, your coordinator will assist. They will also round up guests for special moments like the cake cutting or grand exit. Moreover, coordinators can handle sensitive situations, such as keeping family members who don’t get along separated. By hiring a wedding coordinator, you ensure your guests feel taken care of and can focus on enjoying your day instead of worrying about logistics.

Some wedding coordinators also offer additional services like rehearsal management, which ensures that your ceremony rehearsal runs smoothly. During rehearsal, the coordinator will direct the bridal party, ensuring everyone knows their role and where to stand. If the officiant is unavailable for the rehearsal, your coordinator can step in to direct it. In my package, rehearsal management is included. Some coordinators also assist with light setup and tear down, particularly in the reception area, where there are often more details. Although the coordinator’s main responsibility is overseeing vendors, they can be an extra pair of hands during setup or teardown if needed.


8. Affordable Wedding Planning for the DIY Bride

If your budget is tight but you still want a professional to help manage your day, a day-of wedding coordinator is a great investment. A coordinator can make sure everything runs smoothly without the expense of a full wedding planner. If you’re a DIY bride and want to plan your own wedding, hiring a coordinator will ensure your plans are executed flawlessly.


If your total wedding budget is $15,000 or more, I recommend the wedding coordinator package instead of the full planning package. For couples with a smaller budget, this package can still work if you prioritize a professional coordinator and are flexible with other aspects of the wedding.
