Questions to Ask Your Wedding Venue Before You Book: A Southern Belle Bride’s Guide to Finding the Perfect Wedding Venue

When searching for your dream wedding vendors, it’s important to ask the right questions during consultations so you can find the perfect fit—not only for your budget, but also for your personality, priorities, and overall wedding vision.


Over the next six blog posts, I’ll be sharing my top questions to ask wedding vendors to help you build your perfect wedding dream team. These are many of the same questions I asked while planning my own wedding, and they helped me create the romantic, elegant, and timeless celebration I had always envisioned.


Today, we’re starting with one of the biggest and most important wedding decisions you’ll make: choosing your wedding venue.


Your venue is typically the very first vendor you’ll book because until your venue is secured, your wedding date is not officially locked in. Even if you have a dream date in mind, availability at your preferred venue may require flexibility. During your venue tours and consultations, make sure to ask these important questions before signing a contract.


What Is Included in the Venue Rental Fee?

Not all venue packages are created equal. Some venues include tables, chairs, linens, décor items, setup, cleanup, or bridal suites, while others charge additional fees for those amenities.


For example, my own wedding venue had a beautiful fireplace feature—but turning it on during the event required an additional fee. Other venues may charge separately for setup, teardown, security, or ceremony spaces.


Understanding exactly what is—and isn’t—included will help you compare venues accurately and avoid unexpected costs in your wedding budget.



Is Setup Included?

Some wedding venues provide tables and chairs but do not handle setup. Others may offer setup services for an additional charge.


If setup is not included, you’ll need to factor in:

  • Extra setup time

  • Additional helpers or vendors

  • Coordination logistics the morning of the wedding


This is especially important for couples planning a DIY wedding or bringing in extensive décor.



Is There a Minimum Spend or Guest Count Requirement?

Some venues—especially those with in-house catering—require a minimum guest count or food and beverage spend.


This is important to know before signing your contract because it can significantly impact your wedding budget. At my own wedding venue, there was a catering minimum that influenced our meal style and overall planning decisions. Since we were planning a smaller wedding, we ended up choosing a plated dinner instead of a buffet in order to meet the venue’s required minimum.



How Long Do You Have Access to the Venue?

Every venue handles rental timing differently. Some offer:

  • Full-day access

  • Early setup the day before

  • Cleanup the following morning


Others may only allow a limited rental window that includes:

  • Getting ready

  • Setup

  • Ceremony

  • Reception

  • Cleanup


Be sure to ask:

  • When vendors can arrive

  • When you can access the bridal suite

  • What time cleanup must be completed


Some venues charge overtime fees if you stay beyond your contracted time.


For my own wedding, our venue was located in a public space, so we only had 45 minutes for setup—which definitely influenced my décor decisions as a DIY bride!



What Is the Venue Capacity?

You want your wedding venue to feel comfortably full—not overcrowded or empty.


A venue that is too large for your guest count can feel sparse, while one that is too small may limit your guest list and create logistical issues.


One of my biggest recommendations for newly engaged couples is to create a preliminary guest list before venue shopping so you have a realistic idea of the venue size you need.

Does the Venue Have a Bridal Suite?

Not all venues include a bridal suite or getting-ready space, especially churches, public venues, or smaller event spaces.


If the venue does provide one, consider:

  • Natural lighting for makeup and photography

  • Enough space for hair and makeup artists

  • Electrical outlets for styling tools

  • Comfortable seating and mirrors


At my wedding, the bridal suite was small, dark, and unavailable early enough for hair and makeup, so I chose to get ready at my hotel instead.



Are There Any Décor Restrictions?

Before falling in love with a specific wedding exit or décor idea, ask about venue restrictions.


Some venues prohibit:

  • Real candles

  • Sparklers

  • Fireworks

  • Flower petals

  • Hanging installations


Knowing these guidelines early can help prevent disappointment later in the planning process.



Will There Be Event Staff On Site?

Many venues mention having a “venue coordinator,” but it’s important to understand what that actually means.


Typically, a venue coordinator works for the venue—not for the couple. Their responsibilities usually include:

  • Protecting the venue property

  • Enforcing venue rules

  • Managing venue logistics


They generally do not:

  • Coordinate vendors

  • Run your wedding timeline

  • Manage personal wedding details


This is one reason why many couples choose to hire a wedding coordinator, like myself, in addition to their venue staff.



Who Handles Cleanup?

Before booking, ask:

  • Who tears down tables and chairs?

  • Who removes trash?

  • What cleanup responsibilities belong to you?


Many venues charge cleanup or damage fees if expectations are not met, so having a clear plan in place is essential.



Does the Venue Have a Full Kitchen or Prep Kitchen?

Some venues have fully equipped catering kitchens, while others offer only a prep area—or no kitchen access at all.


Your caterer will need this information in advance, especially if you’re planning:

  • Buffet catering

  • Drop catering

  • Food trucks

  • Family-style meals


Be sure to ask where deliveries should arrive and what time vendors are allowed onsite.



Are There Preferred or Required Vendors?

Some wedding venues have:

  • Preferred vendor lists

  • Required caterers or bartenders

  • Fees for outside vendors


This can greatly affect your wedding budget and flexibility.


At my own venue, the in-house catering was wonderful, but because outside catering wasn’t allowed and there were minimums to meet, it ended up costing more than we originally planned.



Final Thoughts for Your Venue Search

Choosing your wedding venue is one of the biggest decisions you’ll make during the planning process, and asking thoughtful questions upfront can save you stress, money, and surprises later on.


A beautiful venue is important—but finding one that truly fits your wedding vision, priorities, and logistics is what creates a seamless and enjoyable experience.
